Billing Specialist / Office Assistant
Location: Portland, OR

What You’ll Do:
Invoicing & Billing
-
Prepare and process invoices and billing transactions
-
Generate and send invoices to customers using QuickBooks
-
Handle invoicing for outgoing shipments and will-call orders
Phone Support
-
Provide backup for incoming phone calls
-
Address customer inquiries and redirect calls as needed
Will-Call Orders
-
Provide backup for will-call orders
-
Process payments (cash or card, in-person and over the phone)
-
Assist customers with concerns related to pickup orders
Customer Service
-
Deliver professional and friendly customer service
-
Address customer concerns promptly and escalate when necessary
Administrative Support
-
Perform clerical duties: filing, data entry, and record maintenance
-
Provide backup and support for other departments as needed
What You Need to Have:
-
QuickBooks Desktop experience (preferred, not required)
-
Microsoft Excel, Word, and Outlook familiarity (preferred, not required)

Strong attention to detail and organizational skills
-
Dependable, communicative, and a team-player attitude
-
Multilingual abilities are a plus but not required
