Opening: Admin Assistant / Project Coordinator
Location: Anchorage, AK
Pay: $22.00

We’re hiring a Project Coordinator – Fire Alarm & Life Safety to help ensure critical safety systems are installed and maintained efficiently and on time. This is a key role for someone who thrives in a fast-paced, technical environment and enjoys coordinating people, projects, and details that matter.

COMPANY INFO:
We’re partnering with a trusted Alaska-based organization specializing in fire alarm and life safety systems across commercial and industrial facilities. This team is known for its professionalism, precision, and commitment to safety. They take pride in delivering top-quality work while maintaining a supportive, collaborative work environment.

WHAT YOU’LL DO:
  • Support project managers in planning, scheduling, and executing fire alarm and life safety projects
  • Coordinate schedules for technicians, subcontractors, and inspections with customers and regulatory authorities
  • Prepare and maintain project documentation, including permits, submittals, change orders, and closeout materials
  • Track milestones, deadlines, and materials to ensure projects stay on schedule and within budget
  • Communicate regularly with customers, vendors, and internal teams to provide updates and ensure satisfaction
  • Order and track materials, verify deliveries, and coordinate logistics between warehouse and field crews
  • Maintain compliance with NFPA standards, local fire codes, and company quality protocols
  • Support billing, reporting, and project closeout tasks including warranty and as-built documentation
  • Book travel and lodging for technicians and assist with other administrative project support as needed

REQUIREMENTS:
  • Strong organization, time management, and documentation skills
  • Excellent written and verbal communication with a customer-first approach
  • Proficiency in Microsoft Office and project management software (Procore, Spectrum, or similar preferred)
  • Knowledge of fire alarm and life safety systems, codes, or permitting is a plus
  • Ability to multitask and stay calm in a fast-paced environment
  • Problem-solving mindset with a focus on collaboration and follow-through
