What You’ll Do:
The Administrative Assistant for our Wealth Management team will play a crucial role in ensuring the smooth operation of daily activities. This position involves providing high-level administrative support, managing client communications, organizing meetings, and maintaining client records. The ideal candidate will be highly organized, detail-oriented, and possess strong communication skills, with a focus on delivering exceptional client service. This role is perfect for someone looking to contribute to a dynamic team while supporting the growth and efficiency of a wealth management business.
Your key responsibilities will include:
- Provide administrative support to the Wealth Management team, including scheduling meetings, managing calendars, and preparing materials for client presentations and reviews.
- Assist with client onboarding, ensuring all required documentation is complete and up to date.
- Prepare and maintain client files, ensuring confidentiality and compliance with company policies and regulatory requirements.
- Respond to client inquiries and direct them to the appropriate team members as needed.
- Organize and coordinate client events, meetings, and communications, including follow-up correspondence.
- Assist with account documentation, ensuring all transactions and client records are accurately processed and filed.
- Prepare reports, presentations, and other materials for wealth management professionals.
- Coordinate and manage the office’s daily operations, including supplies, equipment, and office communication.
- Maintain and update internal databases and systems, ensuring all information is accurate and current.
- Provide general office support and collaborate with other departments as needed to ensure smooth business operations.
- Experience: At least one year of industrial experience in sectors such as insulation, structural steel, plumbing, or a related field.
- Customer Service Skills: Excellent phone etiquette and ability to engage customers professionally and courteously.
- Technical Skills: Comfortable with basic office software, including Microsoft Office and customer relationship management (CRM) software. Ability to quickly learn new software tools.
- Organization: Strong organizational and time-management skills, with the ability to handle multiple tasks efficiently.
- Communication Skills: Clear and concise verbal and written communication skills, with the ability to explain product details and processes to customers.
- Problem Solving: Ability to think critically and resolve customer issues quickly and effectively.
