Duties & Responsibilities

  1. Client Communication: Communicating with clients via phone, email, or in-person to schedule appointments, gather information, and assist with general inquiries.

  2. Scheduling and Calendar Management: Managing appointments, meetings, and conference calls for CPA professionals, ensuring their schedules are organized and optimized.

  3. Document Management: Organizing and maintaining digital and physical files, including tax documents, financial records, and other important paperwork, ensuring they are easily accessible when needed.

  4. Administrative Support: Providing general administrative support such as drafting correspondence, preparing reports, data entry, and managing office supplies.

  5. Assisting with Tax Preparation: Supporting the tax preparation process by organizing and categorizing documents, facilitating client information gathering, and assisting with basic tax form completion.

  6. Handling Incoming Correspondence: Managing incoming mail and emails, sorting and prioritizing them for appropriate action by the CPAs or other team members.

  7. Database Management: Assisting in maintaining client databases and updating contact information, ensuring accuracy and completeness.

  8. Supporting Office Operations: Assisting in day-to-day office operations, such as coordinating office maintenance, managing equipment and ensuring a well-organized and efficient workspace.

  9. Providing Reception and Front Desk Support: Greeting clients and visitors, answering and directing incoming calls, and maintaining a professional and welcoming front office.

  10. Assisting with Meetings and Events: Coordinating logistics for meetings, seminars, and events, which might involve booking venues, organizing catering, and managing invitations.
